Archiving in the Cloud

Fifty thousand tons. That is the yearly the volume of paper documents generated by Hungarian companies, for which they spend approximately 80-100 billion forints (2 600 000 EUR) on printing costs.

Preparing and storing certified documents is extremely costly, not only to a company’s bottom line, but to the environment. Fortunately, the technological means to reduce both the cost and damage are already at our disposal. What is more, combining IBM’s Cloud infrastructure with the EU’s recently standardized PKI (Public Key Infrastructure) certification methods facilitate radically new ways of working together across countries.

When our company made the decision to move the scope of our business from traditional data storage to cloud computing and establish GreenArchive on IBM Cloud we had two crucial goals:

  • to meet all the criteria of certified documents and
  • to find a platform where our clients could store the archives needed for their operations in a cloud-native environment.

We were aiming to banish the bulk of papers from offices and homes and create a platform to store the key information they included in the cloud at a relatively low cost compared to previous server-side solutions. Complemented with our mobile application, our users can now certify and forward documents by just one tap, regardless of their location.

By setting up our GreenArchive, we have created a service that does not need a heavy investment and is available on a fixed monthly fee basis. We started working with IBM in 2014 to have a reliable cloud background for our service. The company enrolled us in their startup program making their IBM Cloud available for a 12-month period at no cost, which was a huge help in developing our business. Now with that solution we have a very solid, high performing cloud structure, backed by first class computing, allowing us to offer the most flexible service for our customers.

We are aiming to be present in six countries by the end of 2016 (Italy, Switzerland, Romania and the United Kingdom), and GreenArchive is already available in Austria. We have partnered with a number of Hungarian governmental institutions, and Flextronics, Volvo Truck and Adecco has been testing the service, just to mention a few of our partners from the private sector.

However, making offices clutter-free is only one side of our aspirations. We are also incredibly proud of our tree planting program, aiming to plant trees right where client companies are located, lessening our environmental impact by gradually compensating years of damage. We believe that we can only avoid environmental problems if we learn to produce and consume in an environmentally friendly way, if we do not burden our environment any longer, and if we learn to live our lives in a sustainable manner.

Today, cloud computing is a viable option for everybody, one that offers increased flexibility, cooperation and security of data. Ultimately, it is never the paper itself that is valuable, but rather the information stored on it.
